Setting up your Email in XLsuite

XLsuite is fully integrated with IMAP.

This means that you can see all the emails related to a contacts record in your database.

By sharing your IMAP settings with other members of your team, you can see not only the emails that you had with the client, but ALL emails that the client had with ALL members of your team.





Valuable data for customer service and sales teams who rely on having an accurate history of the clients (or suppliers) relationship with your company.

SMTP integration
We've also integrated outbound emails into a "per account" level so that emails that your staff send are fully integrated into their company email account.

This also means that mass mail campaigns are tied directly to the sender, thereby ensuring that any abuse is localized to the sender, rather than affecting all of the users of XLsuite.


How To Set Up IMAP and SMTP in XLsuite:

Simply go to your personal account record by:

Navigating to ADMIN/MY INFO/MY CONTACT/

Choose the IMAP SETUP tab from along the bottom of the page



If you are using Google Apps you can simply enter your email and password for your account





(Make sure that "IMAP is enabled in your Google Account - under settings)






If you use another email account you can chose "OTHER" and enter the address of your IMAP server and the port # it is using (you can get this from your email administrator)





Setting up SMTP in XLsuite

This process is exactly the same as setting up IMAP, simply look for the second tab with SMTP setup in your personal record




Sharing with others:

Sharing your IMAP or SMTP settings with others allows them to use your information mainly so that they can see emails on a clients file that are related.
In other words, by sharing your IMAP settings a user will see the emails on a client file that you sent.
This does not mean that they have access to your full email account, it is only as it relates to the file they are looking at.

You can share with either a role, or a specific person.

If you've set up rolls like "Staff" "Sales" or other ... you can simply share with that role which may be the best method for doing it in an office environment
then new staff don't have to individually be set up with sharing.



Conversely you can also choose to share your IMAP with a specific user

You would simply go to the IMAP SHARING tab for that users contact record and click the SHARE IMAP botton on the top right



Your record will show you who else you've shared your IMAP settings with so you can manage them.
